1. Who we are

SeenByAI is an AI visibility measurement platform available as a Shopify app and a standalone web application, operated by Optima Solutions IT Limited, trading as SeenByAI ("we", "us", "our"), registered in England and Wales with Companies House number 06927469. Our registered office is at Grammar School Street, Bradford, BD1 4NS, UK. VAT number: 471 4536 88.

We help brands measure their visibility across AI-powered search and knowledge models. This policy explains how we collect, use and protect information when you use our service, whether through the Shopify app or the standalone web application.

2. What data we collect

We collect the following categories of data when you use SeenByAI:

Shopify app users

Shopify store data: your store name, product categories, and brand information you provide during setup, accessed via the Shopify Admin API with your authorization.
Merchant account information: your Shopify store name, email address and plan type, used to identify your account and provide the service.

Standalone web application users

Email address: used for magic link authentication and transactional notifications.
Brand URL and competitor URLs: user-provided during signup, used to run AI visibility analysis on your behalf.
Session cookies: an httpOnly, secure session cookie with a 30-day expiry, managed via express-session, used to keep you logged in.

All users

App usage data: which features you use, your visibility score history, and actions taken within the app (e.g. starting runs, viewing reports).
Technical logs: server-side logs including request timestamps, error events and performance metrics. These do not contain personal data beyond IP addresses.
Anonymised benchmark data: aggregated, anonymised visibility scores collected from runs to enable future peer comparison features (e.g. how your scores compare to similar brands). This data cannot be used to identify your store or account.

We do not collect data about your customers or buyers, and we do not have access to order data, payment information or any financial records.

3. How we use your data

We use the data we collect solely to provide and improve the SeenByAI service:

To query AI models on your behalf and generate your AI Search and AI Knowledge scores
To track competitors and auto-discover brands mentioned alongside yours in AI responses
To generate your personalized Playbook with recommended actions
To send transactional emails (e.g. run complete notifications)
To investigate and resolve support requests
To improve the accuracy and performance of our analysis engine

We do not use your data for advertising, and we do not sell it to any third party.

4. Billing

Shopify app billing is handled entirely through Shopify's built-in billing system.

Standalone billing is processed by Lemon Squeezy (Lemon Squeezy Inc.), which acts as merchant of record. Payment card details are handled entirely by Lemon Squeezy | SeenByAI never sees or stores card information.

5. Authentication

Shopify app users authenticate through Shopify's OAuth flow.

Standalone users authenticate via magic link, a one-time login link sent to your email. These links expire after 10 minutes and can only be used once. No passwords are stored.

6. Data sharing

We do not sell, rent or trade your personal data. We may share data with the following third-party service providers, solely to operate the service:

Cloud infrastructure providers: hosting and compute
AI model providers: to query AI models on your behalf as part of the service
Email delivery providers: to send transactional emails
Lemon Squeezy: payment processing for standalone users (merchant of record)

All processors are contractually bound to use your data only to provide services to us.

7. Data retention

Shopify app: We retain your data for as long as your app subscription is active. If you uninstall SeenByAI from your Shopify store, we will delete your store data within 30 days, unless we are required to retain it for legal or compliance purposes.

Standalone accounts: data is retained while your account is active. You can delete your account and all associated data from the Account page at any time.

You may also request deletion of your data at any time by emailing support@seenbyai.co.

8. Your rights

Depending on your location, you may have the following rights regarding your personal data:

Access: request a copy of the data we hold about you
Correction: request that inaccurate data be corrected
Deletion: request that your data be erased
Portability: request your data in a machine-readable format
Objection: object to certain types of processing

9. GDPR and UK GDPR

For merchants based in the European Economic Area or United Kingdom, we act as a data processor on your behalf when processing Shopify store data. You remain the data controller for that information.

Our lawful basis for processing merchant account data is the performance of a contract (providing the SeenByAI service you have installed). Our lawful basis for usage analytics is our legitimate interest in improving the service.

If you are located in the UK and have a complaint about our handling of your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

10. Shopify compliance webhooks

As a Shopify App Store application, we subscribe to Shopify's mandatory compliance webhooks. This means we respond to the following data subject request types within 30 days:

Customer data requests (GDPR data subject access requests)
Customer data deletion requests
Shop data deletion requests (when a merchant uninstalls the app)

11. Cookies

The SeenByAI Shopify app is embedded within the Shopify admin and does not use third-party cookies. Our marketing website (seenbyai.co) uses no tracking cookies. We use a privacy-first analytics provider that does not set cookies or fingerprint visitors.

The standalone web application uses a session cookie to keep you logged in (httpOnly, secure, 30-day expiry). No tracking cookies are used on the standalone app.

12. Changes to this policy

We may update this policy from time to time. We will notify active merchants of material changes via email or an in-app notice. The date at the top of this page reflects the most recent revision.
